We are seeking a proactive and people-oriented **Intake and Customer Care Specialist** to manage our client experience from the very first interaction. This role combines client intake, sales support, and customer service, ensuring prospective and current clients receive excellent care while our attorneys focus on delivering exceptional legal work.
Your responsibilities will focus on reception and scheduling, intake and sales, pipeline management, and supporting internal marketing and growth initiatives. You will also assist clients with billing-related questions and support smooth internal operations.
This is a remote, nearshore position, limited to candidates located in Latin America, with a strong preference for Central America.

Key Responsibilities
Reception & Scheduling
- Act as the first point of contact for prospective and current clients, providing a welcoming and professional experience.
- Manage incoming calls, emails, and inquiries, ensuring timely and accurate responses.
- Coordinate attorney consultations, client meetings, and internal appointments.
Client Intake & Sales
- Gather detailed information from prospective clients about their immigration needs.
- Conduct preliminary eligibility assessments using firm-provided tools and guidelines.
- Clearly communicate the firm’s services, processes, and value to prospective clients.
- Prepare and send representation agreements and follow up on unsigned agreements.
- Track and manage follow-ups to ensure leads move smoothly through the sales pipeline.
Sales Support & CRM Management
- Maintain accurate, up-to-date information in the CRM system for leads and clients.
- Monitor the sales pipeline, manage reminders, and ensure timely follow-up on all prospects.
- Collaborate with attorneys and the managing attorney to support business development initiatives.
Billing & Client Support
- Prepare and send invoices to new and existing clients.
- Assist clients with billing inquiries and payment-related issues.
- Coordinate with internal team members to resolve billing discrepancies quickly and professionally.
Internal Marketing & Growth Support
- Support marketing initiatives, such as client outreach campaigns, event coordination, and referral partner communications.
- Assist with tracking and reporting on marketing metrics and pipeline performance.
Qualifications
- Fluent in English and Spanish (spoken and written).
- Strong interpersonal and communication skills, with a focus on customer service.
- Organized and detail-oriented, with excellent time-management skills.
- Comfort with technology, including CRMs and scheduling tools.
- Prior experience in customer service, sales, or intake roles strongly preferred.
- Bachelor’s or associate’s degree helpful but not required.
